1. Core Field Amendments (Approval Required)
Core fields involve fundamental business information. Because these are high-priority details, a GST officer must review and approve the changes before your certificate is updated.
What’s Included:
Business trade name, primary or additional business locations, and changes to stakeholders (Partners, Directors, or Authorized Signatories).
The Process:
- Submit Form GST REG-14 within 15 days of the change.
- Provide supporting evidence (e.g., rent agreements, board resolutions).
Timeline:
The officer usually processes this within 15 working days.
Note: If no action is taken by the officer within this window,
the amendment is "deemed approved," and your certificate updates automatically.
2. Non-Core Field Amendments (Instant Update)
Minor administrative details are classified as non-core fields. These do not require an officer’s intervention.
What’s Included:
Registered email addresses, mobile numbers, bank account details, and minor profile tweaks.
The Process:
Updates are reflected immediately upon submission and verification.
Verification:
You must authenticate these changes using a DSC (Digital Signature Certificate) or EVC (Electronic Verification Code).
Specific Scenarios
Changing Your Trade Name
Since the trade name is how you present your business to the world, it is a core amendment.
Outcome: You receive a revised registration certificate, but your GSTIN remains the same.
Flexibility: You can add up to nine additional trade names, provided you have the documentation to back them up.
Updating Your Business Address
Changing your principal place of business is a core amendment and requires strict validation.
Required Documents: Electricity bills, rent agreements, or property deeds. SEZ units must provide government-issued certificates.
Geo-Coding: The address must align with the portal’s PIN code mapping to pass validation.
Moving Out of State: You cannot amend your address to a different state. You must cancel your current registration and apply for a new one in the new state.
Step-by-Step Filing Guide
- Access: Log in to the GST Portal and go to Services > Registration > Amendment.
- Edit: Choose the relevant tab (Core or Non-Core) and enter the new details.
- Upload: Attach the necessary digital proofs.
- Justify: Provide a clear reason and the effective date for the change.
- Verify: Submit using DSC or EVC. An ARN (Application Reference Number) will be generated for tracking.
Important Compliance Rules
- PAN is Permanent: You cannot change the PAN associated with a GSTIN. If the PAN changes (e.g., changing from a Proprietorship to a Company), you must get a new registration.
- One at a Time: You cannot file a second amendment while a previous one is still being processed.
- Status Check: Amendments are blocked if your registration is currently under "cancellation" or "withdrawal" status.
